How to invite external TestFlight testers

External TestFlight testers are anyone outside your App Store Connect users who install via TestFlight. They need a cleared build, a group, and a clear invite path. This guide covers external groups, public links, CSV invites, and how Helm’s TestFlight tools keep recruitment from turning into a spreadsheet fire drill.

External vs internal first

Internal testers are people with App Store Connect access. They can often install sooner.

External testers require Beta App Review (when Apple requires it for that build) before they can install. See submit for Beta App Review before you promise a large external cohort a date.

If you only need five teammates, stay internal. External shines when you want customers, community, or device diversity.

Design groups before you invite

Create groups that match how you learn:

  • Friendly: trusted users who tolerate rough edges
  • Segment: a feature, locale, or device class
  • Public recruit: wider volume via a public link
  • Release candidate: a tight group for late builds

Cap noisy groups. A thousand unfocused testers produce feedback you cannot triage. Prefer depth in the right segment over raw count.

Invite by email

  1. Confirm the build is processed and eligible for the group.
  2. Confirm Beta App Review status if the group is external.
  3. Add emails individually or paste a clean list.
  4. Write or refresh What to Test for this build.
  5. Send invites and tell testers to check spam for the TestFlight email.

Ask people to accept promptly. Unused seats and expired invites create false confidence that “everyone is testing.”

Invite with CSV

CSV imports scale better than one-off email entry when you already have a roster:

  • One email per row, normalized and de-duplicated
  • No marketing lists mixed with people who opted into beta
  • A campaign column in your source sheet so you know where the cohort came from
  • A plan for removals when someone leaves the program

Import in Helm or App Store Connect, then spot-check a few addresses before you announce the beta in public channels.

Public recruiting links let people join a group without you collecting every email first. Use them when:

  • You want community volume quickly
  • You are at an event and need a QR-friendly path
  • You can afford noisier feedback

Pause or rotate links when volume overwhelms triage. Keep a separate closed group for release candidates so strangers on a public link never block your final signal.

After invites go out

  • Confirm installs, not just invite sends
  • Refresh What to Test when the build focus changes

  • Remove inactive testers when seats are scarce
