You do not need a perfect essay. You need a calm, specific response that matches the rating and the issue.
A simple reply framework
Use the same structure every time so replies stay consistent across your team.
1. Thank them for the detail
Call out what they shared. “Thanks for flagging the crash on iOS 18” beats a generic “Thanks for your feedback.”
2. Own the situation
If the bug is real, say so. If you cannot reproduce it yet, say what you are checking. Avoid arguing about whether their experience “counts.”
3. Give a concrete next step
Point to an update already shipping, a setting to try, or a support email for account-specific cases. If you need diagnostics, ask for one clear piece of information, not a laundry list.
4. Invite them back
For one-star and two-star reviews especially, invite them to update the rating after the fix lands. Apple lets reviewers edit. Many will, when the product improves.
Tone by rating
5 stars: Keep it short and warm. Celebrate what they liked. If they asked for a feature, acknowledge it without promising a date you cannot keep.
3 to 4 stars: Treat these as your highest-leverage replies. The reviewer already likes parts of the app. Clarify the friction and show the path forward.
1 to 2 stars: Stay calm. No sarcasm, no “please delete your review.” Fix the factual errors politely, then move to help. If the review violates App Store guidelines, use Apple’s appeal flow instead of fighting in public.

- Copy-paste replies that ignore the review text
- Defensive debates in public
- Overpromising timelines
- Asking for passwords or sensitive data in the reply
